The IRB Review Process Explained

What Is an IRB, and When Do You Need One?

An Institutional Review Board (IRB) is a committee that reviews research involving human participants to ensure ethical standards are met. You need IRB review if your study involves collecting data from people—whether it’s through surveys, interviews, clinical interventions, or secondary data.

If you plan to publish, present, or apply for funding, you’ll likely need formal IRB approval. If your institution doesn’t have its own IRB, you’ll want to work with independent IRB service providers, like Solutions IRB.

Step 1: Contact Our Team

The process starts by reaching out to our team. We’ll:

  • Provide access to our secure online application system, or

  • Work with you one-on-one through our concierge service if you’d prefer personalized support.

We’ll help you determine what level of review your study may require and make sure you’re on the right path from the start.

Step 2: Submit Your Application

Once you submit your application, we get to work quickly:

  • Within 24 business hours (Monday–Friday), our administrative reviewers will check to ensure all documents are included and correctly completed.

  • If revisions are needed at this stage, we’ll return your application within 24 hours after payment is received so you can make updates right away.

Our goal is to catch common mistakes early so they don’t slow you down later.

Step 3: Primary Reviewer Evaluation

Your application is then assigned to a primary reviewer—a member of our board with experience in your area of research.

They’ll conduct an in-depth evaluation of your:

  • Scientific rationale

  • Research design and methods

  • Participant protections

If they identify any concerns or needed changes, they’ll send you a revision request within 24–48 hours of being assigned your study.

Step 4a: For Exempt or Expedited Reviews

If your study qualifies for Exempt or Expedited review:

  • The IRB Chair will complete a final review.

  • A decision letter will be issued promptly after approval, allowing you to begin your study.

Step 4b: For Full Board Reviews

If your study requires Full Board Review (usually due to risk level, vulnerable populations, or complex procedures):

  • It will be reviewed during a scheduled IRB meeting.

  • While awaiting the IRB meeting, a final administrative review will take place ensuring that your application and documents are still in alignment and that no minor errors hold up the decision process.
  • After the board’s review, you’ll receive a decision letter or request for revisions based on their feedback.

We’ll guide you through each step, ensuring your protocol is compliant and ethically sound.
